1. Policy commitment

Toowoomba Turf Club is committed to establishing and maintaining a framework for the Private Information we collect, use and disclose by complying with the obligations we are required to undertake under the privacy Act. This Privacy policy gives rights to members, customers, employees and anyone else whose Private Information is held by TTC.

2. Collection of Private Information

TTC may collect Private Information in the following ways:

  • Membership applications;
  • Employment details;
  • Renewal forms;
  • Race day enquiries;
  • Functions / Events;
  • Recruitment;
  • Marketing;
  • Sponsorship and partnerships;
  • Clifford Park website and social media accounts;
  • Competitions; or
  • Publicly available

When or before the TTC collect Private Information, we will inform you of the following:

  • The purpose for which the information is collected;
  • Any law that requires that particular information to be collected; and
  • The main consequence for you, if all or part of the information is not

3. Use and disclosure

The Private Information collected by us covers all customers and employees. In regard to information about employees or potential employees, we use and disclose this information for our business including establishing, managing or terminating employment relationships.

All other Private Information is primarily collected for TTC use including matters related to the processing of Membership applications, renewal forms, general administration and marketing activities. Secondary purposes include business planning, Membership development, administering and managing the content of our website and social media.

As part of our business operations, we often engage third parties; you may elect not to have your Private Information disclosed to third parties.

4. Storage and security of private information

The TTC endeavours to retain Private Information for as long as necessary to fulfil the purpose for which the information was collected. The Privacy Act states that an organisation must take reasonable steps to destroy or permanently de-identify Private Information when it is no longer needed. The TTC will take reasonable steps to ensure compliance with this principle as soon as practical.

The TTC will take all reasonable measures to ensure that Private Information is stored safely to protect it from misuse, loss, unauthorised access, modification or disclosure including electronic and physical security measures.

The TTC will store any credit or debit card details on a secure database and will retain this information for only as long as necessary to fulfil the immediate purpose for which the information was collected or as required by law.

5. Access to information

Patrons may access one’s own Private Information that is held by the TTC, upon making a written request. The TTC will endeavour to acknowledge the patron’s request and provide the information, except where restricted by the Privacy Act. To protect patrons’ Private Information, the TTC may require identification before releasing any information.

Pursuant to this Privacy Policy, patrons have the right to ask the TTC to correct information that is inaccurate, incomplete, out of date, irrelevant or misleading. Toowoomba Turf Club will take all reasonable steps to ensure the information that is held is accurate and will update records accordingly.

6. Changes to the Privacy Policy

Toowoomba Turf Club may make changes to this Privacy Policy from time to time for any reason. The TTC will ensure an updated version of the Privacy Policy is always available. In the event of a merger, acquisition, bankruptcy or other corporate restructuring or reorganisation, the TTC may be required to transfer Private Information. If such an event occurs, the TTC will use all reasonable endeavours to ensure that Private Information will in every other respect, remain substantially under the same terms as this Privacy Policy.

7. Consent

By patrons providing Private Information to the TTC, it is deemed that patrons have consented to the collection, use, disclosure and storage of that information as set out in this Privacy Policy.

8. Photography and filming on premises

The Toowoomba Turf Club commissions photographers to attend events to capture images reflective of the activities and the general environment of events promoted and organised by the club. Through attendance at such events, patrons consent to the use of any photographs or videos taken to be used for promotional purposes including posting on the Clifford Park website and social media accounts.

9. Internet access

When accessing the Clifford Park website or social media accounts, the internet provider may make records of patron’s visits and log the following information:

  • IP address;
  • Top level domain name;
  • The date and time of patron’s visit to the Clifford Park website;
  • The pages accessed, and documents downloaded;
  • The previous site visited by patron; or
  • The type of browser being used by the patron.

10. Links to other websites

The Clifford Park website may contain links to other websites and this Privacy Policy has no application to those websites. Linked websites are not under TTC’s control and TTC has no responsibility in respect of the privacy practices or contents of other websites.

11. Unsolicited private information

From time to time, TTC may receive unsolicited information relating to a person. This may be via electronic or postal means. The TTC will take reasonable steps to destroy or de-identify this information as soon as practicable.

13. Definitions Australian Privacy

Principles or APP means those principles set out in Schedule 1 of the Privacy Act.

Personal Information means information or an opinion about an identified individual, or an individual who is reasonably identifiable, whether the information or opinion is true or not and whether the information or opinion is recorded in a material form or not.

Privacy Act means the Privacy Act 1988 (Cth).

Private Information means Personal Information or Sensitive Information.

Sensitive Information means information or opinion about an individuals:

  • Racial or ethnic origin;
  • Political opinions;
  • Memberships of a political association;
  • Religious beliefs or affiliations;
  • Philosophical beliefs;
  • Memberships of a professional or trade association;
  • Membership of a trade union;
  • Health;
  • Sexual orientation or practices; or
  • Criminal
